We are searching for an Office Assistant/Bookkeeping Assistant for a hunting and outdoor retail store dedicated to providing high-quality gear, knowledgeable service, and a welcoming environment for outdoor enthusiasts. We are looking for an organized, detail-oriented Office Assistant/Bookkeeping Assistant with bookkeeping experience to support daily operations and help keep our business running smoothly.
Position Summary
The Office Assistant/Bookkeeping Assistant is responsible for administrative support, basic accounting tasks, and maintaining accurate records. This role helps ensure efficient store operations, timely financial reporting, and excellent internal communication. The ideal candidate is dependable, proactive, and comfortable working in a fast-paced retail environment with seasonal fluctuations.
Key Responsibilities
Administrative Duties
- Greet visitors, vendors, and delivery personnel in a friendly and professional manner.
- Answer phones, respond to emails, and assist with customer inquiries.
- Maintain organized office files, including invoices, vendor records, purchase orders, and compliance documents.
- Assist with inventory paperwork and data entry as needed.
Bookkeeping Duties
- Process accounts payable and accounts receivable.
- Record daily sales and reconcile cash drawers.
- Maintain accurate records in accounting software (e.g., QuickBooks).
- Track vendor statements, credits, and resolve discrepancies.
- Entering serial numbers and cataloging inventory information
- Generate routine financial reports for management.
Store Support
- Assist with inventory counts and cycle checks.
- Enter new product information into POS systems.
- Support management with compliance paperwork related to firearms and specialized outdoor equipment.
- Help with customer service or sales floor needs during busy seasons.
Job Requirements
Qualifications
- Previous experience in office administration or bookkeeping required.
- Proficiency with QuickBooks, Excel, and general computer skills.
- Strong organizational skills and attention to detail.
- Ability to handle confidential information with integrity.
- Excellent communication skills, both written and verbal.
- Experience in retail or the outdoor/hunting industry is a plus but not required.
- Ability to adapt to seasonal workload changes.
The pay range for the Office Assistant/Bookkeeping Assistant is $18-$20/hour depending on skills sets and experience.
